The clean isn’t the hard part
The hard part is the texts, emails, phone calls, access arrangements, reschedules, and tenant coordination that happen before we even arrive. At AirCare, we understand property management. That’s why we’ve built our service around making life easier for busy property managers.
Chasing tenants for access
Three texts, two voicemails and a reschedule. Per unit. Multiply that across a portfolio and chasing access becomes a job in itself. AirCare arranges the booking for you.
Prevent unnecessary service callouts
A neglected heat pump does not heat properly, and increases the risk of a breakdown. Professional maintenance extends a unit’s lifespan, and a replacement costs thousands.
Reduce tenant complaints
Get ahead of tenant complaints by ensuring their heat pump is running effectively. Winter is the busiest period for HVAC companies, and also when tenants realise they need a service.
One point of contact
If we find something that needs work we don’t do, we organise the trade that does. You still have only one point of contact.
Five steps, and four of them are ours
You send the work order. We take it from there: tenant contact, access, the service itself, and the invoice back to you.
You send the work order
By email, or however your system issues them. We already work in Tapi, and we’ll fit around your process. No portal for your team to learn, no fuss.
We book the tenant
We contact them directly by text and call, with repeated attempts for the hard-to-reach ones. You are not in this loop.
We get in
Tenant present or lockbox works best. If it’s easier, we collect keys from your office. A reminder text goes out before every booked clean.
We service and check the unit
Our full Deep Clean on every heat pump, plus a check for faults, poor performance and unit condition. Anything that needs more than a standard clean, we can handle.
Invoiced, your way
Per job or consolidated, to the agency or direct to the owner. Nothing to chase at month end.
Within 1 week from work order, November to February. Within 2 weeks March to October, through the winter peak. Book the portfolio off-peak and you get both: the faster turnaround and the lower rate.
Most agencies already have established maintenance workflows. We’re not here to change them. Whether you issue work orders via Tapi, email, or other, we fit around your process, not the other way around.
However you prefer. Per job or consolidated, to the agency or direct to the owner, through Tapi, by email or wherever it needs to land. Tell us once and we’ll set it up that way.
What the agencies we work with say
“Fantastic company. I am a property manager and have used this company at my previous agency as well as the one I am with now. So efficient, affordable and friendly. I now use them at my own home.”
“Rosalind and her team are true professionals—we engaged with them approximately a year ago to maintain and clean the heat pumps in our rental portfolio and our whole team has only good things to say. Their pricing model is simple and effective, they always have a solution for a tricky situation and go above and beyond for their clients. We’re lucky to have them looking after us, our owners, and tenants heating systems.”
The Healthy Homes Standard
The Healthy Homes heating standard isn’t just about having a heat pump on the wall. It’s about whether the main living area can be heated effectively to 18°C even on the coldest day of the year. A heat pump packed with dust doesn’t put out the heat it should, and a unit quietly underperforming is the sort of thing you hear about from the tenant first. Servicing buys time as well. A unit cleaned every year can last years longer, which puts off a replacement the owner has to fund and you have to explain.
Performing at its best
Dust and a blocked coil restrict airflow, so the unit works harder and delivers less heat. A proper clean gets it back to the best it can do.
Checked, not just cleaned
Every unit gets a condition check as part of the service. We’re looking for faults, weak performance and units that aren’t up to standard, not just dirt. If cleaning alone may not restore full performance, we’ll let you know.
Told, then sorted
If a unit isn’t performing as it should, you hear it from us, with recommendations for further action. We can organise the trade to put it right, rather than leaving it on your desk.
We’re cleaners, not Healthy Homes assessors. We’ll tell you what we find and organise the fix, but the compliance sign-off stays with you.
What’s covered, and how it’s priced
One standard price, and a lower rate when you schedule off-peak.
In scope
- The Deep Clean as the base service on every heat pump: a thorough clean of both the inside and outside units.
- A condition check on every unit. While we’re in there we look for faults, poor performance and units that aren’t up to standard. Anything we find, we tell you.
- Units that need more than a clean. Heavy mould, a unit in poor condition, a fault we can put right on the day: we deal with it rather than handing it back to you.
- Upgrades and add-ons per unit, as needed. Mould treatment and the like, recommended only where a unit actually calls for it. Never applied as a matter of course.
- Fresh air and ventilation filter systems: HRV, DVS, SmartVent and others. If it moves air through the house, it’s in scope.
- All tenant contact and access coordination.
- Christchurch, Rangiora, Rolleston, Amberley and the surrounding areas.
How pricing works
The Deep Clean
$109 per heat pump
Standard rate, March to October. Our standard public price, and the most you’ll pay for a Deep Clean on a programme.
Off-peak
$99 per heat pump
Off-peak rate, November to February. Our quieter months, so you get the faster turnaround too.
-
Two fixed rates per heat pump
An off-peak rate and a standard rate, agreed when we set up your programme and reviewed annually. No per-job quoting.
-
Volume discount
The more heat pumps on your programme, the better the rate. We’ll work out the discount with you when we discuss your programme.
-
Add-ons, your call
Upgrades are only recommended where a unit needs them. When we set up your agreement, you choose: we apply recommended upgrades and bill them with the job, or we quote and wait for your approval each time.
No minimum portfolio size. Existing agency rates stay as agreed until your programme renews. To set up a programme, send us two fields or call Ros on 0800 247 227.
What we don’t do — and what we do about it
We clean and service units, including the ones that need a good deal more than a standard clean. What we don’t do is refrigeration or electrical work. When we find a fault in that territory, we don’t just note it and leave it with you. We organise the trade and coordinate the tenant. You still have one point of contact.
Refrigeration work
Gas, regassing and mechanical repairs are a different trade and we don’t take them on. We arrange them for you through MJR Plumbing & Gas and the other Canterbury trades we work with. We handle the booking and the tenant.
Electrical work
Anything that needs a registered electrician goes to Insight Electrical. Same arrangement — we make the referral, book the job and organise access, so it never comes back to your desk as a new work order.
What managers usually ask first
If yours isn’t here, call Ros. She can talk you through how a programme would work across your portfolio, and what it would cost.
What does it cost?
$109 per heat pump from March to October, our standard price, and $99 per heat pump for programmes scheduled November to February. Larger portfolios get a volume discount, which we’ll agree when we discuss your programme. Add-ons are extra, and only where a unit needs them. Existing agency rates stay as agreed until your programme renews.
Who chases the tenant for access?
We do, entirely. Once the work order is with us, we contact the tenant directly by text and call, book a time that suits them, and send a reminder text beforehand. You don’t hear from us again until the job is done. The one exception — a tenant who goes genuinely unreachable, and then we come back to you rather than let it sit.
What happens if the tenant isn’t home?
If a tenant misses the appointment, we reschedule and let you know so your work order isn’t left sitting open. We always send a reminder text to tenants on the day of the booking. A missed appointment fee may be billed for repeated missed appointments. The easiest way to avoid a missed visit is to provide us with a key or lockbox access. We do not require anyone to be home during the service.
How long from work order to job?
Typically within a week from November to February. Within two weeks from March to October, when everyone remembers their heat pump at once. Schedule the programme in the quiet season and you get both: the faster turnaround and the lower rate.
Do we have to use a new portal or system?
No. Most of our agencies email work orders through and manage them in Tapi, which we’re familiar with. If your office runs on something else, we’ll work to your process. Taking on a new supplier shouldn’t mean changing how your team works.
Do you invoice us or the owner?
Whichever you prefer, and we can split it by property if that suits your trust accounting. Per job or consolidated, through Tapi or by email. You tell us once and we set it up that way for the whole portfolio.
What if a unit needs a repair you don’t cover?
If the unit simply needs more than a standard clean, heavy mould or poor condition, we deal with it on the day. If it’s genuinely another trade, we let you know and organise it: refrigeration through MJR Plumbing & Gas, electrical through Insight Electrical. We make the referral, book the job and coordinate access. No fresh work order for you to raise.
Does a service make the property Healthy Homes compliant?
No, and be wary of anyone in our trade who tells you it does. We’re cleaners, not assessors: we don’t carry out Healthy Homes assessments and we can’t certify compliance. What a service does is make sure the heat pump is clean, working and putting out the best heat it can, which is the part of the heating standard that quietly slips as units age. An older or damaged unit may still fall short of what the room needs. If it does, we’ll let you know and organise the fix. The compliance call itself stays with you and your assessor.
Who decides on upgrades and add-ons?
You do, once, when we set up your agreement. Either we apply recommended upgrades and bill them with the job, or we quote and wait for your approval each time. Upgrades are only ever recommended where a unit actually needs them.
Can we trial you on a few properties first?
Yes, and we’d rather you did. There’s no minimum portfolio size and no contract to sign before you’ve seen how we handle a tenant. Send us a handful of units, see how we handle them, and scale up from there.
Are you insured, and what areas do you cover?
We carry public liability insurance and we’ve been trading for over 5 years. Three technicians, four vehicles. We cover Christchurch, Rangiora, Rolleston, Amberley and the surrounding areas.
